Overview

Good to speak with you and thank you for walking me through how Spot On runs.

This is about giving your leadership team and the wider team the power to use AI themselves, so Spot On can grow without growing headcount.

It is not an IT project and it is not a system we hand over and walk away from. It is capability that stays inside your business, with your people.

The skill your team builds is transferable. We lead with Claude because it is the strongest tool for this kind of work, but what people learn is how to work with an AI properly and that carries across Claude, ChatGPT or Gemini. The tools move fast and they look much the same to use, so you are never locked to one.

The limiting factor was never the technology. It is here and it is ready. The value is in knowing how to use it and that is exactly what your team walks away with.

Where you are now

From our conversation, here is what I heard. Tell me if I have read it wrong.

  • Accurate accounts take real work. The data in Xero and the dental systems is often a mess, so a lot of effort goes into cleaning and sense-checking it before anything is presented.
  • The numbers move by hand. The trial balance is keyed into the Excel models manually, month after month.
  • Chasing missing information. When a client's documents are incomplete, someone has to spot it and go back for it.
  • Commentary written from scratch. The variance narrative and the data packs are built by hand each cycle.
  • Growth loses to the day-to-day. The advisory side and the bigger conversations rarely get the room they need.

None of this is hard. The team has just never been shown where to start. That is the only thing standing between you and all of it.

What you'll walk away able to do

  • Capture everything by voice. Turn a call or a thought on the drive home into the notes, the actions and the follow-up. Nothing lost again.
  • Sense-check the numbers before they land. Set the rules once and have the work flagged, so you catch what is wrong before it ever reaches a spreadsheet.
  • Build client dashboards on clean data. The attractive front end the other products sell, but built on figures you actually trust.
  • Draft the commentary and the packs faster. The heavy lifting done with you, your thirty years of judgement still sitting on top.
  • Turn a call into whatever it needs to produce. Capture the conversation and the extra context you bring, then generate what you need: the meeting narrative and action points, a follow-up that writes itself, a client-ready summary, or documents like a role matrix or interview questions.
  • Help your clients with their marketing. Take an idea from concept to a strong likeness of the finished materials, landing pages included, in a fraction of the usual time. AI gets you a long way through the creation, leaving only the final touches like a web developer's tweaks to deploy, so you hand clients something close to ready rather than a brief for someone else to build. The same tools pull market intelligence, such as scanning competitors' reviews for the gaps rivals leave, that you can fold into their strategy.
  • Make the most of the tools as they stand. The team walks away able to use what these tools can do today, so the only limit on the opportunity is your imagination.
  • And underneath it all, how to think with these tools. The part the courses never give you and the part that does not expire when the technology moves again.

How the programme works

Built on the AiGENiQ method, Assess, Educate, Activate, Embed and Scale, with the shape set out plainly so you can see what you are getting. It runs across roughly a three-month window.

Before we start
Foundations
I sit down with Donald first. He knows your systems better than anyone and this works best with him on side. We walk through the infrastructure, where tools may need to connect and the data and tax considerations.
Assess
The deep dive
Time with the leadership team and the wider team, online since you are all remote. I learn how you actually work and where the real opportunities sit. You come out with a readiness overview and a roadmap you own.
Educate + Activate
Team training
Two focused half-day sessions for each group, live, in person or online. Week one gets the basics in, week four builds to more advanced use, once people have hit real questions in their own work.
Embed
Embedding
A single weekly call of around two hours across eight weeks. The whole team can join, drop in and out, fixed at a time most can make. Bring what you are working on, we make it stick.
Scale
Ongoing
After the programme, light support so you stay current and reachable. The detail is in section 08.

The training runs across four small groups, built around each team's own work, because the learning sticks when someone can look over a shoulder:

  • Leadership team. Pitched at leading the business with these tools, not just using them, because the example sets from the top.
  • Accounts and finance.
  • Business analysts.
  • Marketing.

Voice and dictation is built in from day one, not bolted on later. It is the single biggest day-to-day time saver and it changes how the team works.

Claude is the main interface for everyone, with Claude Cowork for the file and computer-based work. You will need Claude on a paid plan and most likely a voice tool, but nothing beyond that. This stays business led, with Donald coming in on the technical and cross-system parts. Some of what the team wants will sit neatly inside the tools and some will need a system to system link that is better handled as a separate automation later. We will know which is which after the deep dive.

Your data, handled properly

You handle dental and financial data, so this matters and it was right to raise it.

  • Paid plans ring-fence your data. It is not used to train anything and the privacy protections sit around it.
  • You already trust providers with sensitive data. Your email and your clients' information already sit with Microsoft. This is the same kind of footing, made deliberately rather than by default.
  • Be open with your clients. Where you go down this route, you tell them plainly what you are doing and why, so your team's time goes on judgement rather than moving figures from one place to another.

Anything that needs actual contract wording, for your team or your clients, gets flagged for a solicitor. That is not our lane and we will not pretend it is.

Why it pays for itself

  • Time back, every week. The manual cleaning, keying and chasing comes down and it stays down.
  • The headcount you will not need. As you grow, this is the admin capacity you would otherwise be hiring and paying for, every year.
  • The front end you would otherwise buy. The dashboards the other products charge for, built in-house on data you trust.
  • No sprawling tool stack. Beyond Claude and a voice tool, there is nothing else to buy, not a dozen monthly subscriptions to get the value.
  • It is permanent and it is yours. You pay once, the capability pays you back every week and it lives with your team, not in a tool or a third party.

What it covers and what sits outside it. Stage one is the sessions above and the weekly embedding call. If a group needs more time beyond that, it is available and agreed in advance. That keeps the programme tight and fair, with a clear way to add more only if you want it.

Beyond stage one

Worth naming so you can see where this goes. None of it is part of stage one. It is quoted separately, only once the team is fluent.

  • Internal processes. Team and HR reviews, client onboarding, terms and conditions for both your team and your clients, job descriptions as roles change.
  • The future of Spot On. How AI changes your offering and whether you start helping your own dental clients adopt it and giving them real marketing intelligence. The move from figures to advisory.
  • Specific automations. The ones that run across Ativo, Xero and Excel. Scoped and priced individually after the deep dive, because we will not know the best ones until the team has been through stage one.
  • Ongoing support. Once you are up and running, a light monthly at £250 + VAT keeps you reachable and current. Ask a question any time and I will tell you when something has changed that matters for how your teams work.
